Description

The following is the scope of project management services the Proponent is expected to supply.
General Scope of Services and Responsibilities
1. Assign a Designated Project Manager and a back-up to be the main contacts for the duration of the project.
2. Establish protocol for all communication issues throughout the project.
3. Chair regular project meetings with stakeholders and provide Minutes.
4. Participate in Board or Council meetings as required.
5. Participate in regular site inspections with the Design Builder.
6. Lead and manage in the execution and delivery of the CCDC14
7. Provide a clear Project Management Plan for delivery of the tasks agreed to by all parties
8. Develop and maintain a Risk Register to identify potential risks and decrease the likelihood and extent of negative impacts
9. Review the Contractors schedule and subsequent cash flow updates on a monthly basis for adherence to contractual requirements
10. Develop and maintain a Cost Tracking Log that aligns with the clients financial tracking and reporting methods
11. Provide monthly progress reports
12. Ensure contractor Quality Management System and Safety programs are in place
13. Maintain an RFI log to track issues and responses
14. Review progress claims
15. Advise and assist the Municipality of Jasper in respect of the approval process with statutory authorities and the procurement of requisite permits.
16. Manage the design for conformity with the agreed project requirements and budget and administer design changes.
17. Suggest alternatives, evaluate them, and assist the Municipality of Jasper to decide between them so as to best meet the Municipality of Jasper’s needs in terms of scope, time, quality and cost.
18. Identify and document dates when user requirements and decisions or approval by the Municipality of Jasper are required and advising the Municipality of Jasper of the effect on the project of delayed decisions or approvals.
19. Identify to the Municipality of Jasper the impact (time, quality, cost) of proposed changes, so that the municipality may make well-informed decisions whether or not to proceed with the proposed changes.
20. Provide oversight throughout construction implementation for conformity with the approved Design, including detailed scheduling and coordination, management of inspections, management of deficiency and warranty work, commissioning, operating manuals and record documentation.
21. Manage all changes to the Scope of Project through the Change Notice / Change Order process, review and approve submitted costs and track against both approved project budget and timeline.
22. Advise on timing of final payment and release of holdback monies.
