Dear Prospective Bidders,

American Embassy, New Delhi (India) is inviting you to participate for the requirement of “Upgradation of New Projector in the Auditorium at American Center Building, 24-Kasturbha Gandhi Marg, Connaught Place, New Delhi-110001 (India).

The Public Diplomacy Office would like to upgrade the existing non-functional Christie movie projector and server with new movie projector and server in the auditorium. The suggested specification, recommended model details are listed in the attached scope of work as Annexure-A.

Site Inspection: Embassy is arranging site inspection cum pre-proposal meeting on 14th March 2024 at 02.00pm. The site inspection will start exactly at stated time, hence interested bidders are requested to please reach well 20 minutes in advance at American Center Building, 24-Kasturba Gandhi Marg, Connaught Place, New Delhi-110001 to complete security screening.

Prospective bidders are requested to carefully read RFQ and other listed specification in the scope of work and raise all your technical queries at the time of site inspection. Our technical experts and internal customer will be present at the site to entertain all your queries. Site will be accessible only at stated time only.

Special Note: Those bidders are interested to attend site inspection, kindly confirm their participation along with complete name & contact number of representative via return email at mehtan@state.gov no later than 12.30pm on or before 12th March 2024. Please note that only those participants are allowed to attend site inspection who have given confirmation via email. Please make sure you are carrying original photo Id during the site visit.

Note: Please do not carry laptop while visiting at site inspection as don’t allow to bring inside of the building. Only phone & vehicle key will be deposited at the reception counter. Further Embassy does not provide parking facilities to the visitors, hence make your own arrangements.

Enclosed is a Request for Quotations (RFQ) for “Upgradation of New Projector and server” to American Embassy, New Delhi (India). Interested bidders may participant and submit their quotation via email at stated email id.

Offerors shall be registered in the SAM (System for Award Management) database at https://www.sam.gov prior to submittal of their offer/proposal as prescribed under FAR 4.1102. Failure to be registered at the time of proposal submission may deem the offeror’s proposal to be considered non-responsible and no further consideration will be given. Therefore, offerors are highly encouraged to register immediately if they are interested in submitting a response to this requirement.

In order for a quotation to be considered, you must complete and submit the following:

• Quotation is due by 1700hours (India Time), 22nd March 2024. No quotation will be accepted after time. Proposal must be in English and incomplete proposal or received late proposal or submitted quote at any other email id will not be accepted. Your quotation must be submitted via email at newdelhibids@state.gov with subject line “Solicitation#191N6524Q0031, Upgradation of Projector. It is important to make sure the submission is made in specific size and format; in MS-Word 2007/2010 or MS Excel 2007/2010 or Adobe Acrobat (pdf) file format. The file size must not exceed 20MB.
• Pleases share record of satisfactory past performance with list of clients along with their contact details where you have supplied/service similar type of job.
• Please provide complete specification/image of offered make/model with lead time of completion project after award of PO.
• Please specify warranty of offering product in your quote.
• NDAA Document: As per new guideline/norm from US Government that before doing any business with Embassy, vendor will have to provide confirmation on “National Defense Authorization Act (NDAA) Section 889-part B that prohibits US Government from contracting with any entity that uses any equipment, system, or service that uses covered telecommunications equipment or services as a substantial or essential component of any system, or as critical technology as part of any system.
• Proof of SAM registration.
