Quotations are hereby invited for events management services for the Hydrogen Skills Conference. Scope: Event: 2nd Pan African Green Hydrogen Skills Conference. Date: 13-14 November 2025. Venue: Irene Country Lodge, Nellmapius Drive, Irene, Gauteng, South Africa. Number of Guest: 200. The appointed service provider will be responsible for the full event management and execution of a 2-day conference for 200 delegates. Services required include, but are not limited to: 1. Registration & Goodie Bag Distribution: • Provide a digitised registration system (online pre-registration + onsite check-in). • Manage delegate arrivals, badge collection, and distribution of goodie bags. 2. Name Tags and Lanyards: • Design, print, and supply name tags with branding. • Provide quality branded lanyards for all delegates, speakers, and staff. 3. Guest Communication: • Develop and distribute event maps/directions (digital and printable formats). • Manage delegate communication (pre-event emails and reminders). 4. Seating Arrangements: • Allocate and manage table seating for all delegates. • Provide a seating plan (both digital and displayed onsite). 5. Conference Materials: • Design, develop, and print the conference programme and supporting materials. • Package and supply conference packs for distribution. 6. Charging Booths: • Provide charging stations/booths for delegate devices (phones, laptops, tablets). 7. Master of Ceremonies (MC): • Source and manage a professional MC for the duration of the event. • Ensure alignment of MC brief with event programme. 8. Speaker Management: • Manage speaker logistics and fees. 9. Exhibition Shells & Furniture Supply: • Supply and set up exhibition booths/shells, including branding and furniture. • Manage installation and breakdown. 10.
