Proposals are hereby invited from a qualified service provider for activation promoting KwaZulu-Natal as a tourist destination and film locations - 17 - 21 April 2025. The client seeks proposals from interested and suitably qualified activation companies to develop a concept for activations to promote destination offerings for KwaZulu-Natal Tourism and Film Authority at the Rand Show taking place from 17 - 21 April 2025 at the Johannesburg Expo Centre, Nasrec in Gauteng province. Scope of Work: The scope of services will include: • Develop a concept for an activation to promote KwaZulu-Natal offerings at the respective locations; • 17 - 21 April 2025 indoor activation at the Johannesburg Expo Centre, Nasrec. • Activations to include interactive elements relevant to destination promotion to attract foot traffic into the activation area; • Interactive elements: 2 x A3 photo frames, 1 x bean bag toss-game, 1 x wheel of fortune/spin and win, 1 x pick a box, 2 x question ruffle, 1 x KZN pick a destination, 2 x Zulu cultural attire for photo prop, 2 x A2 QR code on an easel stand; • 1 x 360 photo facility to be provided; • Provide a detailed plan of how the activations will be executed; • Liaise with the client regarding activation space and configuration; • Conduct site inspections after the Purchase order has been issued, prior to the activations taking place; • Engage with Nasrec Expo executives about the dos and don’ts at the event; • Onsite execution and management for the duration of the activations; • Provide stand refreshments (snacks and soft drinks) for staff members and partners (15pax) working at the stand for the duration of the activations (5 days); • Provide marketing/promotional collateral that will carry the brand at each activation specific to the theme (such as branded t-shirts - 100 x black, 100 x white and 100 x yellow, beach balls x 100, key holders x 100, water bottles x 200, lanyards x 300 and tote bags x 300). All these items must be branded; • Provide 3 promoters to engage with the public during activations; • Through the utilizing of modern technology (tablet/laptop) or register collect data that will be used by the client to promote KZN packages; • Service provider to be responsible for the collection and the return of marketing materials and destination brochures at the respective offices Head Office and Satellite Office.
