Specifications: • Web-based database for City of Cape Town biodiversity management staff and associates; • Servicing 150 active users; • Allowing online access to registered users only: password-controlled access; • Differential access to various functions depending on users" designation (Guest status, Operator status, Site Manager designation, and Administrator access for editing all data and designating status of the other users); • Functionality to include users 24-hour access to input data (Sightings and Facilities) against specific ‘Sites’ (150 conservation sites/locations in field) prompted by pre-set data forms, and upload files (photos and documents), with email notification of data input to relevant sets of users. Data to be grouped per ‘Site’; • A mapping function to allow for uploading of point location data relating to sightings and facilities; • Provide seven categories of functions in the database which can be accessed separately, but all being linked to the relevant specific biodiversity management site; • Functionality include an online calendar function per site to allow users to capture events and includes a form for the user to add more detail per event; • Search function to allow extraction of data, drawing reports or lists; • Export functions for said data extracts to allow users to download such lists in Excel, per site: Sightings list (including spatial data = co-ordinates), species list, species statistics, calendar and calendar report; • Curatorship and administration of data as well as registration of users not part of this services (to be done by City of Cape Town staff); • Ownership of the data collected via this database remains the property of the City of Cape Town; • Required software updates, back-ups and minor bug fixing of existing functions to allow for the continued operation of the website required (part of this quote) Period service 12 months from date of PO.
