Proposals are hereby invited for the following: Offsite Storage Services for the NLC for a period of twelve (12) months. Service providers are invited to provide off-site storage for document boxes and document management services in accordance with the scope of work outlined: • Service provider should be able to collect documents from all the provinces to the off-site storage and back in a secure transport/delivery facility when the need arises. • Service provider will be expected to ensure that information and records are handled in line with the requirements of the Protection of Personal Information Act, No. 4 of 2013. • Format of records will differ from A5 paper to A3 paper contained in paper file covers, lever arch file covers and standard archive boxes, unless a special request is made by the NLC. • The service provider must ensure that records are stored off-site in accordance with "the National Archives and Records Service of South Africa: Records Management Policy Manual, 1st Edition, version 1.4, October and SANS (ISO) 11799: 2005." • The service provider must collect records/documents for off-site storage as specified in the Service Level Agreement (SLA) between the NLC and the successful service provider. • Take-on of records will be from Head Office and eight (8) Provincial offices. • The service provider must provide all relevant packaging material(s) (e.g., boxes, labels, barcodes, etc.). • The service provider must provide all necessary equipment, hardware, software, and personnel required to facilitate the take-on. • The service provider must verify the packed material against list provided by NLC. • In instances where NLC does not provide a database, the service provider needs to provide a transfer list or index report in the form of hard copy or electronic format. • The service provider must provide a quality assurance system. • The service provider must use a storage facility and system that complies to the standards set by National Archives and Records Services of South Africa. • Service Provider must be able to provide packaging boxes, stationery and consumables and staff to render labelling and indexing services before records are removed from the current storage facilities.
