Geoscience Australia is seeking a commercial off-the-shelf Safety Management and Reporting System (SMRS) to replace its current WHS incident tool. The new system must support compliance with the Work Health and Safety Act 2011, enhance the integrity and visibility of safety data across field, laboratory, office, and marine environments, and strengthen user engagement, analytics, and risk-based decision-making.
The successful vendor will provide implementation, integration, training, licensing, and support services. The system must be configurable to suit diverse operational contexts and enable alignment with ISO 45001, ISO 9001, and ISO/IEC 17025 to support future integration of safety, quality, and laboratory assurance functions.
Other Instructions:Shortlisted vendors may be invited to present system demonstrations and use cases as part of the evaluation process. The proposed contract term is three years, with the option for three additional 12-month extensions for ongoing support and enhancements.

Conditions for Participation:From section 4.3 of the Statement of Requirements:
To be eligible for consideration, vendors must:
Agree to comply with the AusTender Terms of Use.
Confirm the ability to deliver all Essential Requirements (Section 3.1) by the proposed go-live date.
Confirm the proposed solution:
– Is hosted entirely within Australia, and
– Complies with Australian Government data sovereignty and privacy requirements, including alignment with the Hosting Certification Framework, Australian Privacy Principles, and (where applicable) the PSPF and ISM.
Hold, or be willing to obtain prior to contract commencement:
– Public liability insurance
– Professional indemnity insurance
– Cybersecurity insurance, where applicable
Confirm that any personnel requiring access to sensitive data:
– Hold, or are eligible to obtain, an AGSVA Baseline Security Clearance
– Will be sponsored by the Vendor where required
Commit to GA’s Work Health and Safety obligations, including provision of a WHS Plan (if required)
Disclose any actual, perceived, or potential conflicts of interest
Provide at least two relevant client references for comparable WHS, compliance, or enterprise system implementations within the past five years
Timeframe for Delivery:Implementation planning will commence from November 2025, with configuration, integration and testing activities occurring through late 2025 and early 2026. System go-live is targeted for March 2026, with post-implementation support continuing under contract.
