Austrade is seeking quotes for a SaaS Events Management solution that will provide:

• A digital-first event management strategy;
• Engaging and consistent attendee experiences for physical, virtual and hybrid events;
• Events that are professional and polished to showcase Australian industry capabilities and the Australian and Austrade brand;
• An event solution that improves the user journey through streamlined communication tools;
• An event solution which supports delegate management at physical and virtual events with efficient tracking mechanisms to track an attendees event journey;
• A variety of functions that will satisfy the full spectrum of event type combination requirements for Austrade’s global network across physical, virtual and hybrid events;
• Integration with key Austrade systems to facilitate streamlined event experiences for Austrade clients;
• An events solution that will facilitate B2B and B2C business matching and preferencing, such as:
• Enabling Australian companies to interact with overseas partners to identify and / or develop business discussions;
• Showcasing the Australian education sector to reach a global student base and allowing prospective students to interact with Australian education institutions at major education related events.

A key requirement of the solution will be its ability to integrate via an API effectively with our existing iPaaS (integration platform as a service), which routes data toward to:

• Microsoft Dynamics 365 CRM for customer relationship management
• Microsoft Customer Insights module for email marketing and broader marketing interactions and customer journeys
• An Adobe Experience Platform with core CMS and Analytics capabilities (Austrade would also like to understand the ability of the solution to integrate with alternative CMS products)

Austrade is also developing an approach to managing customer digital identify with Entra ID B2C to provide a seamless and personalised experience for all external users who interact with Austrade via digital channels. In this context, the event solution will be another digital channel and not have to replicate these identity management, CRM, marketing, CMS and analytics capabilities. It will be a complementary capability in an ecosystem of digital capabilities.

Requirements that depend on integration have been highlighted for Tenderers in Attachment A: 2025 – Business Requirements. In addition, Tenderers must provide additional information on their integration approach and capabilities in Attachment B: Supporting Information. Tenderers are also encouraged to review the personalised journeys that Austrade is working towards in the scenarios provided in Attachment C: Demonstration Scenarios for more contexts.

Other Instructions: Conditions for Participation:

1. The Tenderer and any subcontractors proposed in its tender must not be insolvent, bankrupt, in liquidation, or under administration or receivership as at the Closing Time.

2. The Tenderer and any subcontractors proposed in the tender must not be named as non-compliant with the Workplace Gender Equality Act 2012 (Cth) by the Workplace Gender Equality Agency as at the Closing Time.

3. Potential Tenderers to provide details of how they will identify, assess and address risks of Modern Slavery practices in the operations and supply chains that will be used in the provision of Goods and/or Services.

4. Potential Tenderers are to adhere to the Security Requirements as specified in item A.A.2(b) of the Approach to Market
