Request For Quotation for Communications Services for Middle-Value-Donor Program for the Private Sector Partnerships Services of United Nations High Commissioner for Refugees Sub-Office Hong Kong (Албания - Тендер #46789915)

The appointed vendor will be expected to manage end-to-end production and services needs of events scheduled during the contract period including but not limited to:

1. Journey creation: Propose donor journey and touchpoints for the full year, for both financial and loyalty purposes. Identify the opportunities and devise innovative journeys to different types of donors including new donors, ongoing donors, lapsed/reactivation donors.
2. Conceptualization: Propose donor communications strategies that align with UNHCRs brand and Middle-Value-Donor program objectives.
3. Planning: Map out a donor-centric strategy for full year 2024.
4. Produce: Develop a comprehensive range of deliverables to lead our donor engagement efforts.
   • Copywriting: Craft compelling and persuasive content for online and offline communication materials, including donation appeals, engagement context and impact reports.
   • Design:
     • Create THREE sets of bilingual special appeals, EACH special appeal should include:

• ONE visually appealing and impactful digital brochure, and
• ONE hard copy appeal booklets package.
• The vendor agrees to return UNHCR the editable design files upon completion. The editable design files refer to the original, source files used to create the final deliverables, such as graphic designs, artwork, or other related materials. UNHCR retains the right to print the files for further usage. The editable design files are returned in a format compatible with the software used to create them, such as Adobe Illustrator (.ai), Photoshop (.psd), or any other agreed-upon format.
• Create FOUR bilingual engagement eDM to enhance donor experience.

Printing & Mailing: Coordinate the printing and mailing the THREE sets of bilingual special appeals to Hong Kong, Mainland China, Macao and Taiwan, and ensure high-quality production and presentation. Dispatch to the post office and mail out on behalf of UNHCR (postage will be reimbursed with the presentation of receipt of HK post. Please note UNHCR will not prepare the postage fee to the selected vendor in advance) . Return the remaining materials to UNHCR office (The vendor may be required to mail out the packs in batches, so please indicate the delivery cost for each time in Annex B- The financial form). QUANTITY: around 2,500pcs each set

The quantity is an estimation which may vary to the actual quantity. Hence, the invoice should be charged to the actual quantity of service delivered according to the unit cost of your quotation. The vendor is not expected to change the unit price even the quantities vary. UNHCR may purchase all or only part of the services above and reserve the right to reject any work performed by the vendor, in whole or in part, that, upon UNHCRs sole and absolute discretion, are unsatisfactory, or inappropriate.

Ability to work closely with the staff of UNHCR SOHK and with key stakeholders across the UNHCR network in a collaborative and creative working environment. Ongoing analysis and recommendation to validate the service by contract end. In case it is required to attend a meeting with UHNCR SOHK staff the awarded bidder shall be informed accordingly.
